There are Many regulatory efforts which mandate that
our organizations need to perform the due diligence
necessary to protect the confidential information in
our daily business operations. Some of these
regulations include
Sarbanes Oxley,
Gramm-Leech-Bliley,
HIPAA, the
PA
Breach of Personal Information, not to mention
pure common sense.
Adding a disclaimer (or footer) on the bottom of
each outgoing email is easy. We have already added
this feature in the SpamZapper configuration
settings. You may have seen the various settings and
Whitelisting capabilites on
Page One of the
configuration, but the disclaimer text is stored on
Page Two. Here's a step by step guide for
storing a
disclaimer text for your company's (or your
domain's) out bound email.
First of all, you need to login with your account
information to the Server Administrator site (this
is usualkly done as the Domain or Network
administrator for your organization). The Login
page is located at:
- http://www.no-junkmail.com
Click the
ServAdmin link on the left
- http://www.spam-zapper.com
enter your
id and password then click configure.
When you have the Server Administrator page up, you
can select the
spamzapper button on
the left panel. You will then be given a drop-down
box to select the domain you want to configure,
select the Domain (not an email address), then click
the
login button.
This is the SpamZapper status page (complete with a
graphical report about your domain), for the domain
name you selected. Now you can click the
Configuration button, and enter the basic
configuration page.
At the bottom of the page is the
Next>
button, click it to go to page two. In the middile
of the page you will see the text:
Email Signature or Non-Disclosure Statement for
all Outgoing Email: - Enter your text or HTML
formatted text into the field and this information
will be appended to all of your outgoing emails.
Please note, that this setting is only available to
adminitrator for the domain. If you have other
users with access, they will not be able to change
the disclaimer text for their either. They will not
be given the option to see this information.
OK, that's it! Now if you had your login
credentials, htat should have taken you all of five
minutes. Now you can kick you feet up and take a
break!
